Production and Publication Details and Timeline
  • Marketing evaluation. Once a manuscript is presented, Sanctuary Publications will evaluate it and discuss marketing potential with the author. It’s hard to believe, but currently there are some 190,000 new books published each year in the United States. This may be the most competitive business there is. Not only that, but every new book competes with every book in its genre ever written! While we might not find that magnificent manuscript that makes it onto the N.Y. Times best seller list, we do want to ensure adequate sales.

In order to give our authors the most realistic feedback, we often submit book proposals for a new manuscript to the marketing people at NBN. Their evaluation of a book’s marketing potential is valuable. But the bottom line is, Sanctuary will not publish any book it doesn’t think has a chance in the marketplace—even if we happen to like it. It is our job to help the author succeed, and our success depends on theirs.

Another consideration at the very beginning of discussion is that professional book reviewers require either a printed book or a galley up to six months prior to the book’s publication date. The only way to make that possible is to schedule a book publication date twelve months in advance.

  • Catalog Reservation. Once we have accepted a manuscript for publication we discuss publication dates with the author. Those dates are usually determined by the NBN schedule, and their clock starts ticking nine months in advance of publication date. At this point we send in a form to reserve NBN catalog space.

  • Assignment of ISBN. When we reserve catalog space we must also submit ad copy for the book. Ad copy includes the book’s format, outside dimensions, number of pages, price, ISBN, author’s biography, description of book, and marketing plan. The plan may include website representation, book signings, book tours, radio interviews, blogs,
e-mail campaigns, etc.—the various ways the book buyer will feel the full extent of Sanctuary’s outside promotion and support.

  • Library of Congress Catalog Number (LCCN) and BISAC code (the genre of the book). Both number and code will be applied for.

  • “Tip Sheet” and Cover Art Submission. Two weeks after reserving catalog space, Sanctuary will electronically submit the cover art and a “tip sheet,” which includes all the details about the book, to NBN.

  • Sell Sheet Design and Printing. Sanctuary will then write sales copy and have our graphic artist design a two-sided, full-color sell sheet for the book, and print one to two thousand copies. These will serve for all future promotions and become part of the sales materials to be sent to NBN.

  • Create and Ship Sales Materials. One month later, Sanctuary will print additional sales pieces such as author biographies, book endorsements, tip sheet, marketing plan, news items, etc., which, along with the sell sheet, will be assembled into 70 sales packets and shipped to NBN’s sales force. This is the required information needed for each sales rep to both understand the nature of the book and to present it to prospective buyers.

  • Export Data to Accounts. Virtually all of the data available for a new publication is then exported by NBN to bookstores six months in advance of the publication date. The NBN catalog with the new title’s ad is also printed at this time.

  • Finished Book Design. All art and text files for a new book must be completed three months before publication date and shipped to printer no later than two months prior to publication date.

  • New Title Uploaded to Sanctuary Website. At approximately the same time, all information about a book is uploaded to the sanctuarypublications.com website. Also, with author’s agreement, the book is formatted for e-book downloading.
